Oscar,
Make the notebook work for you. Add any additional material that will make your notebook more effective.
I have added Section 1005.34, F.S. Fair Consumer Practices; Condition of Operation section as well as Section 1005.04, F.S. Fair Consumer Practices to my resource book.
After reading Section 1005.04, F.S. Fair Consumer Practices I now know institutions that are required to be licensed by the commission shall disclose to prospective students that additional information regarding the institution may be obtained by contacting the Florida Commission for Independent Education, Department of Education, Tallahassee.
The Resource notebook contains invaluable information if assembled and maintained properly. It allows readily available access to quick accurate answers.
AS referenced in the material, there is a great deal of material needed to stay current with all the rules that regulate the institution. The most effective way is to assemble and maintain a resource notebook.
Successful Completion means: cumulative passing grades 70% in the program in which enrolled
Antipated Date of Graduation: The date the studnet completes all requirements for class and clinic hours
A well organized Resource Notebook is an excellent tool to have available at the admission department so all admissions representatives can access to it and more important to be up-today with all the rules and regulations.
Application - A form designed to collect qualifying information from a student. It includes: Name, address, undergraduate institution, signature etc.
Interview - Each applicant is interview over the phone to assure he she understands the program details, is prepared for the rigors of graduate work etc.
Enrollment Agreement - The binding document approved by CIE, which assures the student has reviewed the course catalog, handbook, and program details. A list of the payment dates and amounts is provided.
Catalog - A printed overview with each course, including student learning outcomes. The catalog provides all of the information required by CIE (e.g. refund policy, complaints procedures) and more, including faculty credentials and research interests etc.).
Tuition - Tuition is the total amount paid, and is calculated by multiplying the required credits times the price per credit.
Scholarships - A financing tool used to reduce the amount of tuition paid. Scholarships are always approved by CIE before being offered as specific qualifications apply. We assure that a scholarship offered to one member of a cohort is offered to all, in accordance with CIE rules and state laws.
Until I completed this compliance training I had been using folders for all materials needed. Now I am organizing The Resource Notebook for easy access to pertinent information. I plan to include:
-TERMS/DEF
-STATUTES/RULES
-COURSE CATALOG AND ADDITIONAL INFO ON INSTITUTION
-ENROLLMENT AGREEMENT
-COPIES OF MKTG MATERIAL IE OUR MAILERS, FLYERS, NEWS ADS
-COMPANIES THAT HAVE HIRED OUR STUDENTS
(THIS WAS IN INTERESTING INSERT. I WILL FIND THAT VERY USEFUL DURING INTERVIEWS.)
-ADDITIONAL COURSE/CURRICULUM INFO IE FLYERS
-ACICS RULES/REGS
Some term include:
1. Accrediation- accrediation means that the college is approved and recognized by the US Dept of Education and is usally accrediated either nationally or regionally
2. Enrollment Agreement- the enrollment agreement is the legal binding document between the student and the college. It contains info such as cost of program, important policies and rules of the college among other important info.
The resource notebook has enabled me to get a better understanding of the requirements that I must adhereto in order to become succesful in my admissions role. The resource notebook allows me to catalog all relevant information. Although I have been in the industry for a number of years new regulations come about all the time now I have a handy resouce to use to locate them we I need them.
Some of the terms and definitions commonly used during the admission process are:
Accreditation;Enrollment;Enrollment Agreement;Post Secondary Educational Institution;Program;Rules and Regulations;Title IV.
In my Resource Notebook I have;
1.A copy of Rule6E-2.010, F.A.C agents
2.Terms and definitions
3.My institution catalog
4.Enrollment agreement
5.Copy of recent flyers and promotions.
I became aware of this rules and regulations during this training....I love it! I believe in being inform so that I can help prospect students and represent well my institution.
This has been very interesting about putting together a resource notebook. This is my first year having an 8 week program in which there are only about 5-7 students per class. This is a dental assisting school that takes place in a working dental office. Is there anyone that has a similar program that can give me some pointers?
The Resource Notbook is a fantastic tool!
I have placed several things in my Resource Notebook so far: Summary Points for Rule 6E-2.010,F.A.C. Agents and Admissions Staff as well as some of the other statues and rules outlined by the Commission. In addition, it contains terms and definitions, catalog, marketing brochures and flyers, copies of enrollment paperwork( inclusive of enrollment form, placement statistics, disclosures and privacy statements)and program curriculum overview sheets. I am awaiting an updated copy of our institution organization chart.
Some information I have learned so far that I was not aware of were the Summary Points for Rule 6E-2.010, F.A.C. Agents and Admissions Staff. This is extremely important to know.
My Resource Notebook contains copies of all relevant documents that prospective students would sign upon admittance to our university; including the Enrollment Application, registration forms which inform the student of his financial responsibilities as well as refund information, a copy of our catalog, copies of marketing materials and brochures.
I was unaware that we could not advertise a raffle to boost attendance to information meetings.
