Please check with your institution for specific policies and processes but, my understanding is that these "referral leads" must be handled slightly differently than when information is requested directly from the interested party. Specifically, the individual would not fall under the provision for calling within a certain time of initiating contact since the fact you have their name came from another party. If the individual is on a DNC list, you must follow related rules. I have seen several suggestions for handling this including: having the student who referred the new prospect call you or have them bring the referral to the school for a visit. I have also seen schools handle an initial communication with a referral via other methods such as email or regular email.
Our contact manager states 'Do Not Call' in the phone number line of the individual's contact information.
When perspective students are call and they ask not to be called in the future they are taken of the "Lead" list and a note is put into CVue.
What would happen if someone like an existing student refers another person to the school but that person is on the DNC list. Is there a way to find out before we call them to see if they are interested?
I am in financial aid but I am sure that DNC is in campus view
My institution has an option to categorized students as "Do Not Contact" if requested to not be contacted, but the phone number is still visible. Masking the phone number once this status is selected would be a great idea, as I see it is used by other institutions.
We do have a place in CampusVue that allows us to identify and inquiry as a Do Not Contact. Once the individual has informed us they are no longer interested we place them in this status.
We have do-not-call instructions in CampusVue management system in the telephone column. This is up dated frequently.
students who request not to be called are tagged in campusVue as do not call ,all leads are inquires in CampusVue are scrubed against the National Do Not call Register
In regards to our inquiries, we are utilizing a function in CampusVue that compares the phone numbers on the National Do-Not-Call Registry with the phone numbers in our system. If a number is matched, the activities are then analyzed and for those that need to be updated, the phone number is replaced with Do-Not-Call. We also have created a Do Not Call school status for our representatives to use when an inquiry requests us not to contact them further.
We have a specific accessible program (Campus Vue) that denotes if a student is on the Do Not Call registry.
Our corp office updates Campus Vue and put "DNC" in the telephone field.
Our computer system allows us to import the federal DNC list directly to our software. We are then able to run reports or look up individual numbers to determine if they are on the DNC list or not.
After further discussion with our Admissions Director she stated to me that our calls our tracked through Campus Vue and apparently there is a section that can be marked do not call.
WOW, I am also not part of the team that does the calling, and honestly I did not know there was a place in Campus Vue for this information. After reading all of the discussions, I went in and found the report. I had seen numbers with DNC beside them before and was sure that was what it was. I learned something new today and believe that this is a really good tool for us all to have and know where this information is located.
Our college's software is inabled with a tracking system that will automatically tag a number that is on the DNC registry. In addition, associates can and do manually flag any number when they are given a request by the owner of the number to not receive further calls from our college.
Associates are trained to not call any number that is associated with the DNC registry.
We utilize contact manager in CampusVue along with either removing the student's number from the demographic screen or placing DNC next to the number. We also have a paper call log as back up just incase there is a system error and that also provides a paper trail.
Im in financial aid so i dont get to deal with this, but my understanding is Campus Vue allows our reps. to track this information.
I am not privy to how my institution addresses this issue as I am not part of that function. Our admissions section would be the function that deals with this issue and I am quite sure this institution is compliant with all applicable state and local regulations in regard to DNC.
There is a DNC option in Campus Vue.
