I am organizing all my paperwork in my resources notebook.
My Notebook is organized based on most asked questions first. This means, accreditation, accrediting bodies, Colleges and Specific College accreditations. Being able to explain the leaning model offered and the specific student our program benefits, also go over the resources and the benefits of each reasource for our students.
Before I took this course I actually had a "cheat sheet" folder. I actually started keeping tips and info I needed to pull quickly in this folder. I like the notebook idea!
We organizing the paperwork and information related to completing the admissions process in a "step-by-step"manner. For example, the first forma a student at our institution fills out is a Contact Information Card. The notebook has an example of the card (no information included in the card) and an explanation of what should be included. This example and guidelines ensure that we collect the proper information about the student and provides as a pre-screening oportunity that can be followed up in the following steps.
We use a file folder for each new student that enrolls. It contains the students' enrollment agreement and all other additional relevant info. We also keep an electronic copy of these materials.
All Admin Reps are giving a training binder with complete copies of all paperwork. We are taught page by page how to explain them to the student enrolling as well as where to sign and date. We also learn what copies the student gets to take home with them. This way the student enrolling feels comfortable with what they are signing because we explain it to them. I also have a master set of the copies in my desk if the computers go down on us. We typically print them off from out online database that way all of the information is populated with their information and what program they are enrolling it. Every program has a slight difference in paperwork that needs to be signed so we just have to make sure that we are selecting the correct program and correct time slot for out students.
When organizing my daily paperwork I put all pertinent paperwork together so I have easy access to my daily topics that are discussed. Being new I have a notebook that follow when I get CARS calls or for new leads that has all the information I need to use in order for me to answer the majority of all questions that will be asked of me.
