Greg,
It's a great resource for everyone at the school.

Mindy,
This is good to hear. Staff should refer to it often even when they are sure. There is much to learn within its pages.

Raymond,
Make the notebook as useful as it can be. Add any additional materials beyond the basics to make it work for you.

Shatasha,
You have really hit on the idea of the notebook.

We are in the process of assembling our Resource Notebook, and this is what we have so far.
Florida Statutes and Rules, terms and definitions, our Institutions Catalog, Enrollment Agreement, Marketing materials and strategies, Policies and Proceedures Manuals, Employee manual, Student manual, Internship manual, and our Organizational Chart. This is just the beginning, as it looks like this will be an incredible tool for everyone involved in our institution, not just for the recruitment staff and Agents.

Hi Patty,

This is the first time my staff will be taking this course. I just completed the first module and think having a Resource Notebook will be very valuable for our admissions advisors and managers.

Great idea - I too will keep these materials in my resource notebook.

The information placed in my resource notebook is a currnet course catalog, enrollment agreement, an organizational chart and a policy/procedure manual.

I've discovered that I didn't know, what I didn't know until I was able to really dig deep into the policies as outlined. And by developing a resource notebook it not only organizes the most used elements of the program the items are literally at your fingertips to obtain information readily.

Isabel,
Starat with te basics and build it to meet your needs. Feel free to add any additional documents that are useful.

Campus Visit - An appointment scheduled by an Admissions Representative for a prospect to come into a campus, tour the facility, meet the educators and see studnets in action.

Financial Aid Counselor - The financial aid expert available to prospects to assist and help them through the financial aid process.

Some of the terms used are; "Enroll", "Sign up", "start your career". I understand now that some of these terms may be used too much and we should make sure that we are speaking about the prosess in the most corret way.

The information I've placed in my notebook so far is as follows:
Statues and Rules
School Catalog
Enrollment Agreement
Policies and procedures

What I've learned is that agents must renew every year and they may work out of another office.

I have a background in human resources and know the importance of following rules and regulations. I like the idea of having a notebook and will make sure all my admissions representative as well as myself keep up to date with the materials and will refer to the rules especially Chapter 6E, Florida Administrative Code Commission rules.

I have placed the course, along with the FL Statutes; the enrollment agreements;a copy of each form that needs to be filled out by the applicant, our school catalog, a list of advertising sources; samples of print advertising; a sample of our marketing materials that we use when talking with students; our employee handbook as well as our student handbook and an organizational chart of our organization. These are tabbed to be able to find information easily. I actually learned that EVERY person who meets with students needs to complete the training. Before I began the course of study, I thought that only Agents needed to complete this training. I also learned how to find updated information about changes in the law and how often I should be checking to update my resource notebook.

I usually use the catalog as a reference guide, however, I am sure I will be creating my own resource notebook. This will be a very useful tool.

Clay,
The notebook can be a valuable asset for all. It must be kept up-to-date and those using the resource need to know any changes.

Lorraine,
Start with the basics and then make the notebook your own and work for you.

Omar,
Excellent start! Definitions and terms are very important from the beginning so everyone is talking about the same thing.

Paula,
Thanks for posting your process on the forum so that others may benefit from what works for you.

I agree that having a central notebook for all your resources, especially in a small office, is a great way of knowing where to go to to get information handily and quickly.
