I am still learning as I am a "new" employee but I am learning more about COMPLIANCE than from the previous system I was working with. The notebook can and does help keep knowledge organized and readily available when in the midst of the interview.
I found that renewal information is valuable to have in a resource notebook especially when you are dealing with several states. It helps keep our information fresh.
I have printed out the training material provided in my Agent Training course to place neatly in a binder by sections covered.
I discovered the many rules/regulations that are not only governed by the college but as by the State of Ohio such as the advertising.
I also learned that I should keep the binder updated by checking monthly on the internet resources for updates, changes, promotions, etc.
My notebook has a very basic overview of the rules and regulations in regard to Ohio admissions so far. There' not much that I've learned so far that I didn't know from my previous Ohio training.
I have place a list below of all the material in my notebook and it has been shared with my admissions team so they too may be up to speed.
In my notebook are the following:
The Ohio State Board of Career Colleges and Schools Website
Listed Laws and Rules that regulate me as an Admission rep
Our school catalog
Listed the link to our Enrollment Agreement Marketing plans
Our Policy and Procedure for our school website and catalog
An organizational chart-with contact info
Our Acceditation
I have places the Agents/Admissions Reps Regulatory Laws/Rules in my Resource Notebook, thus far. I discovered that agents must obtain seperate permits for each shool they represent, ir they work for more than one institution. I didn't realize that agents would work for more than one institution, I just thought that they would only work for one. The other details seem pretty standard, as far as I know.
I have placed the forms necessary for prospective students to fill out.
I did not realize that the school also had to be approved for its representatives to be able to solicit students from that other state as well.
There is a lot of information from the Division of Insurance that I continually add to my Resource Notebook. The volume of rules and regulations are many, and with out the binder, it would be highly difficult to track updates and changes.
Bryan,
Yes, there are schools that have student referral programs that meet state requirements. However, as a result of changes in federal regulations, schools that receive federal student loan funds may not be able to offer referral programs.
John Ware
I have placed all of the information that this training recommended. I was not aware of the rule about award for assistance with recruitment by students. I wonder however, what the law means by "unless it is part of an approved school referral program." Is there any instance when this is acceptable?
All of the current and most up to date informations to facilicate my book.
So far I have placed policies and procedures,
enrollment agreements, organziational chart and our accreditation in my resource notebook.
The resources notebook is very helpful in the admissions process. There is so much information/rules/regulations in the industry that it can be very useful to have something to look back through. I try to place as much info on as many different topics as possible in my notebook. I have been in the industry for awhile now, however we had much shorter programs where students didn't have to repackage. Here we have a much different financial aid process.
So far I have just placed the course identified rules/regulations into my resource book. One new piece of information I did not know about was the rational for taking attendance every day. I thought it had to do with the institution receiving federal monies. It makes sense about knowing the last attendance date for refunds if the student withdraws.
What is the best method to keep the resource notebook updated.
I have placed the rules from this class, I have also placed the GI Bill information and all Federal aid programs since my area of responsibility is military personnel.
I placed the Admissions Representatives Regulatory Law and Rules Packet in my resource notebook. I wasn't aware that a Representative has to renew the permit annually.
I have put all my notes and Info that i USE FOR MY JOB. It helps me be a little more organized
I put all my interviews in my Resource Notebook and I discovered that the Dental Assisting program has changed for the next quarter
I have added the following information
1.Ohio State Board of Career Colleges and Schools Laws and Rules for regulation of the admissions team
3. School catalog
4. Copy of the Enrollment Agreement and definitions
5. An organizational chart of local campus with contact info
8. Acceditation information for all sites
The detailed information regarding the guidelines for approval for the agents was great information that I was not aware of.
