I didn't realize there were so many guidelines for agents presenting in Ohio. It's very interesting to see the restrictions placed on agents in the state.
Ithink this will be very benefical to me as a new Rep on a daily basis.
Before I went into the interview for the position I had started a 'Resource Notedbook'. At the time I did not know that it was called that term but I used it for general knowledge of the company I was bout to go in and see. I find the Notebook to be a useful side tool and visual aide for myself and others, Along with keeping the communication channel clean and clear and everyone on the same page.
As far as adding to it I constatnly do! I added the Admiin Reps Regularoty Laws/Rules - for the terms. I also added our catalogue, curriculum for all the programs offered and all of our agreements. I have also put everything in clear protectors and created a table of contents to be able to flip to a document on a dimes notice. All of these documents are important so that I represent the school professioanlly and accurately for potential new students.
I think that this notebook is a greatresource tool for every and any school/company to have and own!
I currently have the following in my Resource Notebook:
* copy of Agents/Admissions Reps Regulatory Laws/Rules pgs 1-8.
*Student Enrollment policies and practices
*Financial Aid, Tuition Assistance, and refunds pgs 1-9.
I did not know:
*agent permits must be renewed annually.
*how/why the permit may be revoked.
* how much of the tuition the student is responsible for once they sit for 1 wk, 2wks, 3wks & 4wks.
*I wasn't aware of job placement rates and where to find them ( bls website).
* the importance of a school being accredited and what it means for the student.
* basic rules and guidelines for the school such as being tardy, absent, gpa requirements etc.
I have placed all the coures rules and regulations based on the ohio laws on compliance.I also included the student enrollment policies and practices. I have learned more in depth about certain policys that I was unaware about, such as media and marketing tatics. I have also been able to go into depth about finiancial aid and all money practices when it comes to enrolling a student. Full disclosure is key!
I agree! As a new rep, the Resource Notebook will be a great tool for having information handy when needed. Mine is currently in the early stages, so I haven't added much to it yet.
Nothing. I have almost 6 years total working for proprietary colleges and did know most of the questions, however I have placed FAQ info, program info in my notebook. Thank you
Information on laws, statutes and forms that can be used. I also need to have information about my school and should be an expert on the information that will be asked of me about the institution I represent. I didn't realize that if the institution was outside of Ohio, I still needed an Ohio permit to represent the school.
I think this is a great tool to stay current with all the rules and regulations. I started with putting the laws/rules in my notebook. The different rules between an "agent" and "admissions" is new information for me.
The information I have placed in my Resource Notebook are the items that have been covered so far in this training session. When asked if I have discovered that I didn't know about the institution or the rules and regulations it must abide by - I haven't discovered anything new.
I just completed a training on information gathering and will utilized the notes taken, as a quick reference for my notebook.
I also feel that having a resource notebook available aids in the training of all new admission reps. Allows them to read through all the information in an easy format.
I’m a big fan of binders, big color coded binders so this section was right up my alley. The information discussed in this section helped me understand the rules and regulations even more.
I agree. Having all of the rules and regulations in one notebook is helpful to an Admissions Representative on a daily basis.
I think, like many of the other respondents, that the Resource Notebook is an excellent way to provide an agent with the tools and information he or she needs at any time. The difficulty is ensuring that the notebook is updated, but with regular "syncs" with the rules and regulations, a process can be put in place.
I have kept a binder full of marketing materials, disclosures the current and past enrollment agreements with the school and the school's catalog. It has made myself stay organized with the materials that are most current but also keepping records of what changes have been made.
My Resource Notebook is full of rules and regulations which makes it a lot easier to locate information quickly
It definitely helps when I question something because there is so much to remember.
I have always had some sort of resource notebook for whatever I'm passionate about. For this career path I have placed a copy of the student file check list, enrollment contract, school catalog, tuition installment contract, graduate and placement rate, a list of career enhancement courses we offer along with our core curriculum, class planner, current class schedule with course length options, and a hard copy of the FAFSA worksheet. I still need to add the organizational chart but have already requested a copy. I have also printed off these lectures and have started a secondary resource notebook to help keep me organized with rules and regulations. Something I'm continuously suggesting to my co-workers is to organize their emails into folders as well. It helps keep important documents at first glance when logging into my email account and I know where everything is based on filtering the contents of the email. Along with that, a smart phone is incredibly vital with keeping accurate up-to-date notes that I can quickly email to myself, and filter into a folder as a back up if my phone ever crashes. Technology is great and I love to use it, but hard copies are a quick and useful way to accurately inform the prospect based on their question(s). I can already tell these lectures are going to help me see my position from a different angle and I'm very excited to continue learning in my field.
I really like the idea of a resource notebook, and have one for the state of Florida. I have as seperate notebook for Texas regulations. I have now set up a seperate resource notebook for the state of Ohio, and am familliarizing myself with the Ohio statutes. I find that the intent is the same - to make sure that we do the right thing to protect the student.
