We are a new school so I am just developing my Resource Notebook now. I find reading the other posts very informative and helpful.
So far I have the information provided in this module, our school handbook, current enrollment agreement and enrollment addendum and student disclosure.
I was not aware that people that work outside of admissions, but have completed the agent training may complete the enrollment process with students. I was also not aware the this training must be renewed each year.
I have submitted my marketing materials, such as mailers, flyers, and inserts. I also have my accreditation standards with the school polices and procedures. I have just entered my school's organizational chart. I didn't realize I needed that. I didn't realize that the agent permits had to be renewed annually.
I have compared the suggestions from this teaching to my information and have found several areas to add to my resource notebook: more specific policies and procedures that are directed toward student conduct; and internship manuals.

I have placed the laws , rules, and statues that were provided in the course. I have also placed information about my institution. I didn't know that there's licenses that you need to obtain to work as an agent/admissions representative.
This is true because there is a lot to remember and having the notebook handy with all of the information, definitely makes life easier!!

I have been made aware that this is not just a one time training. This is always changing and I will need to be updated.
I have placed all of the rules and regulations in to my resource notebook as well as the website information to keep an updated list of rules and regulations. Before starting here I did not know that there were so many different rules and regulations for this postion.
The resource is very valuable. I like to always have something to go back and reference. It is always nice to have a refresher there when you have something in question. I find that organization with your resources is a must.
I printed off the quizzes to use as a tool with my staff.

I am a huge advocate of staying organized and prefer resource/reference notebooks/binders over storing information on my computer (old school...lol). I printed off the Regulatory Laws/Rules prior to the suggestion and also applied a few key memos received regarding the school. I inserted a copy of the Enrollment Agreement and plan on adding much more as I gain them.
Hmmm, I guess how involved the role of an agent/admission rep is. There's an abundance of rules...most based on common sense. I am glad to know the difference between an agent and counselor.
I have found that in the resource notebook it is important to not only give a little of your background information and certifications but to keep all information up to date. It is also important to include the rules and regulations for the different states in which I may work with students for recruitment purposes. The resource notebook can be an excellent reference when you need it if it is kept up properly.
So far, I have not discovered anything about the institution that I did not already know, but things can be changed so it is important to keep up with it on a regular basis.
I learned that people soliciting for the school must be employees and not independant contractors.
I have added information on enrollment policies, tuition & fees and refunds. I have learned some details about how students are refunded if they withdraw from classes at different points during the quarter/semester.

The length of the program determines how the tuition can be collected. See OAC 3332-1-10(F)(13)(b) for further clarification.

What I am confused on is if you do any marketing or soliciting for the school as an agent, you can not be a student counselor as well? Would that mean job fairs or any other activities?
Just not understanding why you can't do both.
In the research notebook for our school, I made sure to print our all the definitions, laws, guidelines, and agent requirements(dos and don'ts). It is a start to the already large book we have for our own materials that are need to know for a knew agent. When the completion of this book happens, a new agent will already have the pertinent information needed to succeed in their job duties. I did not know that agents could be denied due to personal trouble with the law. I would have thought that these types of people would have been surveyed properly from the institution before they reached that point in their position. It is always good to learn something new as you get further into your career.
My notebook will contain all the rules and regulations. It will also have the student catalog and enrollment aggrements.. I learned there was a certain way to accept payments.. since my tuition is $5000 I am allowed to accept payment in full all at once. This is good information for the future if prices ever change.
I have placed all the Ohio laws, and rules in my notebook along with my school catalog, marketing information, policies and procedures, organizational chart, paperwork on accreditation.
As somebody who has been in admissions for over 12 years I wasn't surprised at all about the importance of the regulations.
It is our responsibility to convey the right messaging to prospective students and their families.
All information that is pertinent to the success and compliance as and admissions agent.These would include the rules an regulations of the campus an who to go to for various questions and concerns.
