Funny enough, this is something that I've been doing since I started working in Admissions. While my format may be different, the idea is the same. Having learned what I have so far, there is a a lot of information that I have not included in my notebook. So, now my notebook and include even more than what I thought I needed. I like the idea of this being started from the beginning for new Admissions Reps as it will help them to stay compliant and informed for potential, new and current students.
At our school we have put together a notebook with our catalog, enrollment agreement, graduation rates, financial aid informtion and previous student testomanials. It has proven to be very helpful.
I did exactly the same thing. It is nice to have all of the pertinent information in one place. Additionally, I added a copy of each program's curriculum plan.
The great thing about the company I work for is when I started almost 4 years ago they put a notebook together for me. I have added things over the years. I did not have the Ohio Rules in there so I am going to add that along with some other information from this course. This is a great tool for a new rep and now that I have been here for 4 years I still use it almost on a daily basis, just to make sure everything is correct when I speak with students.
I definitely liked how Kristine set up her Resource Notebook.. There are so many items that are needed to help potential students. I do feel that the enrollment agreement is a mandatory piece of information to put into the file, as it gives so much information.. A section for updated memos and catalog addendums is also a great idea.
I have placed info concerning the programs we offer, financial aid information, course descriptions, terms and definitions,
I also added a copy of the employee handbook to my resource notebook.
The information in which I have placed in my resource notebook are rules and regulations which govern licensing of agents. I did not know that even as a non ohio resident that you could not solicit education in the states of Ohio without this licensure.
In the quiz under "schools can offer any number of tuition assistance options" I answered incorrectly because the Art Instruction Schools do not offer any options.
I started to create my Resource Notebook and found that there were quite a few people that were willing to help me. They had a lot of great insight on things that I would need to be familar with and other things not so much. I wasn't aware of all the rules that regulate my position. I fid them to be very interesting.
The Resource Notebook is a great idea - something I started when I went through training w/appropriate tabs, etc. I also like the idea of having an Organizational Chart for "Who's Who" in the institution.
Definitions from Chapter 3332 along with information from Chapter 3332 in regards to Finacial Aid, Tuition Assistance, Refunds, Organizing, Filing, Organizational structure, policies, and procedures,Programs, Obtaining up-to-date-information, and Transferability of credits.
I did ot know if a student is already enrolled with another institution we are not suppose to provide them nformation about our school.
That there is always change-
I have been with the institution for several years and some things that i am going through are really helping me freshen up a lot of the information that i have obtained over the last few years.I have put the financial aid requirements that we must go by in my resource book as that is one of the most critical pieces of the students enrollment.
My Resource Notebook has our employee training manual, copies of enrollment agreements of different programs and other documents signed during the application process, the school catalog, an organizational chart for the company and for the marketing department, information regarding the programs we offer, placement and graduation statistics.
Here are the items I currently have in my resource notebook in tabular format:
- Using the Notebook as a Reference Guide
- Terms and Definitions
- Financial Aid, Tuition Assistance, and Refunds
- Organizing and Filing Information
- Organizational Structure, Policies, and Procedures
- Educational Programs
- Advertising and Marketing
- Obtaining Up-to-Date Information
- Licensing and Accreditaion and Other Regulatory Bodies
- Transferability of Credits
I discovered that a permit can be denied for admissions representatives because of a moral code violation. I agree with the clause and feel that if someone with an egregious moral violation could adversly affect the admissions process as well.
This is great thing to have
The information that I have placed in my resource book is the school catalog, enrollment agreements, accreditations, and approvals......this notebook helps me to be more organized and keeps the enrollment process more structured!
Due to the fact things are always changing we are provided a resource notebook the is continuously updated as SOP and admissions practices cange. We have access to the notebook at our stations. Meeting are also held weekly to go over recent changes.
I agree with you that the notebook is very important and difficult to remember everything
