School Catalog

The school catalog is an important part of the admissions process. It empowers the student by giving them full disclosures of all that they need to know about the school and their specific program.

Terms and definitions

It is essential that admissions representatives give clear definition to the often used terms in our environment which are not commonly used by our prospective students.

Recruiter

Is it best to hire both an Admissions Director and a Recruiter?

Transfer of Credits

I work with graduate programs exclusively and receive transfer credit questions frequently. Because our program is a lock-step program, in general we do not accept transfer credits. How do you deal with students who were told their credits would transfer and are now upset with you because they don't.

Receiving Paperwork Back on Time

Sometimes after the initial interview the prospective student will linger on bringing back important paperwork. What is a great motivator to help them bring all the documents in a timely fashion?

Students demanding discounts

I read in the previous module that we are not to offer discount and random reduction. But as representatives how do we keep the student interested while they are used to being offered discounts by other institutions?

If your school has a required externship program, what is the best verbiage for the Admissions representative to use when going over these requirments with the students?

Questions about competing institutions.

What is a good standard answer when asked to offer an opinion of a competing institution?

Regulatory Requirements

Institutions must be in compliance by adhering to the highest Ethics, Honesty and Integrity. Rules can be changed at any time thorough out the year. Statutes can only be changed once a year through the legislative process. Institution provides students with the knowledge to make an informed decision about their life. Trust, honesty, and integrity should be the basic tenants of everything school. The CIE's requirements help to ensure that all institution follow the same guide lines. The regulations protect both the student and the school. The schools catalog should be a great tool.

Enrollment & Placement

As an owner of an institution, I find this material to be very informative. This program should be extended to all executives. We sometimes forget the fundamentals. A good example is that we need to be reminded that the goal of enrollment is for the student to have the ability to seek employment after graduation. Placement services are key to assisting the student to find a job. It is always important to advise the student of these services.

Statutes, Rules, and Regulations

Print and store all the regulations, remembering to check for updates every month. Start with the definitions in the statutes, and then study the definitions in the rules. Follow all the rules and regulations until they are known. As this becomes a repeated process, remembering the rules becomes easier.

Agent - What are best practices for an institution to monitor agents

Revocation of an agent’s license shall lead to an investigation of the licensed institution to determine whether the institution’s license should be placed on probation or revoked for failing to train or supervise its agents adequately, or for allowing or encouraging its agents to violate the provisions of Florida Statutes and rules, if the activities leading to the disciplinary action appear to be related to such circumstances.

regulations and procedures are necessary to understand and work within compliance

Meetings

There are many different meetings that are held at the institution. The weekly meetings we have with our admissions office are important to determine what we are doing each week and where there is room for us to take on new projects. We also have our faculty and staff meetings which are important to determine what each area and department of the school is doing to understnad our processes. These are important meetings to attend to also encourage interaction between the departments and smooth communication.

Know What your Institution Has to Offer

Right now I am working on meeting with all program leads for the different programs and opportunities at our institution. It is important for us as admissions representatives to understand all of the offerings of our institution and to be able to provide the most accurate and up to date information to those students. Whether you went to law school, went to the law school you work at, or did not go to law school at all there are many questions that will be asked and you need to be able to answer each of those. Understanding your institution and what it has to offer is one of the most important aspects of our job.

Gainful employment

As part of my job, I think it is important to know what other schools graduation and employment rates are. I was extremely surprised to see that one of the largest state colleges only graduates 2-3 students per year! That is out of a class of 10-12 students enrolled in technical courses such as automotive and diesel technology.
